1. Definitions

When we say “we”, “us”, “our” and “CakeBoxx Technologies,” we are referring to CakeBoxx Technologies. When we say “you”, “customer”, “client” and “visitor,” we are referring to the persons or entities who we conduct business with or have either visited our website, accessed any of our online channels or interacted with us via email, via telephone, or at events.

2. How we gather information

2.1. Information we collect automatically

When a visitor accesses cakeboxx.com we use thirdparty services to collect standard internet log information and details of behavior patterns.

These services collect information using ‘cookies’. Cookies are text files containing small amounts of information which are downloaded to your personal computer, mobile or other device when you visit a website. Cookies are then sent back to the originating website on each subsequent visit, or to another website that recognizes that cookie. Most web browsers have options to control or disable cookies, should you wish to.

This information is only processed by us in a way which does not identify any individuals. We do not make, and do not allow these services to make, any attempt to find out the identities of those visiting our website. These analytics help us learn more about where our customers are, what our customers want and in turn, help us to serve them better.

If we do want to collect personally identifiable information through our website, we will be up front and clear about this.

2.2. Contact Forms

In order to effectively process and respond to the inquiries we receive, CakeBoxx

Technologies collects information via a contact form on cakeboxx.com. This form is completed by the visitor and requires some basic personal and corporate data in addition to the enquiry text itself. Additionally, we sometimes create separate forms to collect different information as is required for events we run or attend.

2.3. Mailing List Sign Up

As part of the registration process for our e-newsletter mailing list, we collect personal information. We use that information for a couple of reasons: to tell you about our news and products, and to contact you if we need to obtain or provide additional information.

We use a third-party provider, Zoho Campaigns, to deliver our mailing list. We gather statistics based around email opening and clicks using industry standard technologies to help us monitor and improve our services. For more information, please see Zoho’s Privacy Policy.

You can unsubscribe to general mailings at any time by clicking the unsubscribe or ‘opt out’ link at the bottom of any of our emails or by emailing [email protected].

2.4. Links to Other Web Sites

This privacy policy does not cover the hyperlinks within this site that link to other websites. Those sites are not governed by this privacy policy, and if you have questions about how a site uses your information, you’ll need to check that site’s privacy policy.

2.5. Social Media

When following us on social media, the social media provider is responsible for the collection, storage and use of your information, which you have shared with them. We have access to analytics tools which they provide (for example demographical data) which we may use for analytical purposes. We may also be able to view personal information which you are sharing via the platforms, however, we will not use or store this information without seeking your permission to do so. Please refer to the privacy policy of each social media platform for more information.

2.6. Email

Upon receipt of an email inquiry, we will enter the provided contact details (email address, first name, last name, telephone number, company) into our client database. This is so we can keep track of our communications, formulate a response and advise you on our services or opportunities.

2.7. Telephone

Upon calling us to make an inquiry, we will ask you for some basic information. The most common types of information we collect include first name, last name, telephone number, email address, job title, and company. We may also ask how you found out about us. We will enter the provided contact details into our client database. This is so we can keep track of our communications, formulate a response and advise you on our services or opportunities.

2.8. Events and Meetings

When at events, meetings, or other business capacities we collect personal data from our prospective clients – usually in the form of being given business cards or corporate contact details in another form. This data is stored safely and securely in its physical form but may also be digitized and stored in our client database so that our staff may continue communications effectively. Where we have received consent to do so, we may also subscribe email addresses to our Zoho Campaigns newsletter. These newsletter emails will always include an ‘unsubscribe’ or ‘opt out’ option.

3. How we use the information gathered

The two primary uses of your information can be classified respectively as Operational Requirements and Marketing. We would never sell your personal information or pass it to a thirdparty for the purposes of advertising.

3.1. Operational Requirements

To fulfill a contract or take steps linked to a contract, we gather and store the information outlined in this privacy policy. This information will be used to communicate with you to organize and facilitate service deliverables or in accordance with legitimate interest.

3.2. Marketing

Where we have consent to do so (e.g. if you have subscribed to our e-mail newsletter or have indicated that you would like to receive updates from us) we may send you marketing communications by email about services, news, and products that we feel may be of interest to you. You can cease such communications if you would prefer not to receive them in the future by using the ‘unsubscribe’ or ‘opt out’ facility, within the communication itself.

We store information on secure servers that are managed by us and our service providers, and occasionally hard copies that are kept in secure locations.

Some of our services, notably those for emails and data storage, are provided by external suppliers. We only select service providers we believe are trustworthy and maintain an acceptable standard of data security compliance (Google, Microsoft, Zoho, HubSpot, Albacross, MailChimp, CamCard, DropBox).

We must share your information with certain parties so as to ensure we can provide the best possible service. We only share your information when and where necessary.

5.1. Our Staff

Your details may be accessed by employees of CakeBoxx Technologies in order fulfil operational requirements, provide marketing information or update your details.

5.2. Service Providers

As outlined in sections 2.1. and 4., we use digital service providers who store and process personal data on our behalf.

Other service providers we share data with include our professional advisers: accountants, and financial advisers located in the US and UK.

5.3. Other Recipients

Where you have consented explicitly for us to do so, or where we are authorized or required by law to do so, we may share information with other recipients.
